While the use of EMS software is not officially required to manage an EMS, software is advantageous to help organize the many components of an EMS. Aspects and impacts, implementation schedules, and all EMS related documents for each facility must be tracked as part of an EMS. Having one person, or even several people manage this mass of information without some central organization would be a logistical nightmare. An EMS for a facility as large as the University would simply be too much for one person to handle.

After researching many different software programs, the University decided to use Intelex. The software is flexible enough to meet the needs of the University while still having all the necessary capabilities to organize a solid EMS. Many software programs investigated were strictly based on the ISO14001 Standards. Intelex was originally created as a standard for industry-related environmental management systems. The ISO Standard is extremely stringent and many of its requirements do not make sense or would be extremely difficult to follow for a university of UVA's size.

Intelex serves as a repository for all EMS related University documents. The system keeps track of who created the document, when the document was created, and when the document needs to be reviewed or updated. Intelex sends out email reminders to notify the person responsible for the document that the document is due for a review or update. The software also sends out email reminders when tasks need to be performed and even escalates if a task is not performed so the person's supervisor knows that the task has not been completed. Intelex web interface means users can access the program at any time from any computer with a connection to the internet.
